Klozure ("we," "our," or "us") is committed to protecting the privacy of our clients and the individuals whose information is processed through our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our patient reactivation services.

2. Information We Collect

We collect and process the following categories of information on behalf of our dental practice clients:

  • Patient contact information: First name, last name, phone number, and email address.
  • Appointment data: Last visit date and appointment history provided by the dental practice.
  • Treatment plan status: Whether a patient has an unscheduled treatment plan on file.
  • Client business information: Dental practice name, contact information, and billing details.

We do not collect, store, or process any protected health information (PHI) beyond what is strictly necessary to deliver our reactivation messaging service.

3. How We Use Information

We use the information we collect solely to provide our patient reactivation services, including:

  • Sending personalized reactivation messages to inactive patients on behalf of dental practices.
  • Following up on unscheduled treatment plans at the direction of the dental practice.
  • Generating monthly performance reports for dental practice clients.
  • Processing billing and payments for our services.

We do not use patient information for any purpose other than delivering services on behalf of the dental practice that provided the data.

4. HIPAA Compliance

Klozure operates as a Business Associate under HIPAA for all dental practice clients. We sign a Business Associate Agreement (BAA) with every dental practice prior to processing any patient data. We implement appropriate administrative, physical, and technical safeguards to protect patient information in accordance with HIPAA requirements.

5. Data Sharing

We do not sell, rent, or share patient information with any third parties except:

  • Service providers necessary to operate our platform, such as SMS and email delivery providers, who are bound by confidentiality obligations.
  • As required by law or to comply with legal process.
  • With the dental practice that provided the patient data, as part of our regular reporting.

6. Data Retention

We retain patient contact information only for as long as necessary to provide services to the dental practice client. Upon termination of our service agreement, patient data is securely deleted within 30 days.

7. Opt-Out Rights

Every message sent through the Klozure platform includes a clear opt-out mechanism. Patients who reply STOP to any text message will be immediately and permanently removed from all future messaging campaigns. Opt-out requests are honored within minutes and cannot be overridden.

8. Security

We implement industry-standard security measures to protect all data processed through our platform, including encrypted data transmission, access controls, and regular security reviews.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify clients of any material changes by email or through our platform. Continued use of our services after changes constitutes acceptance of the updated policy.
